Arrangements for ITPA meetings to be held at General Atomics,
San Diego, California in October, 2003

The meetings will take place at General Atomics in San Diego, California USA from
Monday, September 29, 2003 to Friday, October10, 2003.

There will be four meetings of various ITPA topical groups and also the coordinating committee meeting during this time. These meetings are for the following groups:

1. ITPA Coordinating Committee (October 2–3, 2003)
2. ITPA Topical Group on Transport and ITB Physics (September 29–October 2, 2003)
3. ITPA Topical Group on Pedestal Physics (September 29–October 2, 2003)
4. ITPA Topical Group on Confinement Database and Modeling
   (September 29–October 2, 2003)
5. ITPA Topical Group on Steady-State and Energetic Particles
   (October 8–10, 2003).

Note that ITPA meetings are organized under the auspices of the ITPA Coordinating Committee and participation is restricted to scientists from the fusion communities affiliated with the ITPA Agreement (China, European Union, Japan, Russian Federation andUnited States of America). Participants in the ITPA meetings must therefore be nominated by the fusion programme administration of oneof the members.

Participant Requirements

Participants to the various ITPA Meetings must make sure that they perform the following actions (in chronological order).

1. For those participants that need U.S. entry Visas, submit U.S. Visa application immediately to the U.S. Embassy or Consulate in your country. Note that due to recent changes in the visa application procedures, the process time for Visa application has increased significantly (further details on visa application requirements can be obtained from the following website: http://www.UnitedStatesVisas.gov). Please contact your Topical Group (TG) leader (D. Campbell, Y. Kamada, E. Doyle, W. Houlberg, C. Gormezano) and local organizing person (see below) for invitation letters.
   Citizens of certain countries (visa waiver countries) do NOT need U.S. visas for entry.
   These countries are: Andorra Iceland Norway Australia Ireland Portugal Austria Italy San Marino Belgium Japan Singapore Brunei Liechtenstein Slovenia Denmark Luxembourg Spain Finland Monaco Sweden France the Netherlands Switzerland Germany New Zealand United Kingdom (also, Canadian citizens do no need visas).
   For verification on visa waiver countries see the following site: http://travel.state.gov/vwp.html. Citizens of these countries must make sure that they have machine readable passports (see the same site for more details).
2. Complete and submit the non-U.S. Citizen form by July 15, 2003. Note that submissions after this date can be accepted, but there is no guarantee that approval for entry to GA will be completed before the meeting.
3. Make reservations at hotel of your choice.
4. Complete and submit the registration form by August 15, 2003.
5. Complete and submit the cyber access form by August 15, 2003. The completed form should be printed out, signed and faxed to Kristi Keith at General Atomics.
6. Contact your TG leader to submit title of presentation, if any.
7. The latest list of participants for the ITPA meetings can be found here. You should check your information on this spreadsheet to ensure that it is correct and send any information that is missing.
8. Arrive at the GA visitor reception center by 8:00 A.M. of the first morning of your ITPA meeting to pickup badge. (see map of GA)
9. The hotel shuttles have limited space and so the participants who want to use the hotel shuttle should also check the participants spreadsheet for other particpants who will be renting cars and who have stated they can ride share from and to the hotel. You should try and contact people who have rental cars (and who are staying at your hotel) to meet them at 7:45 am at your hotel.
   
   Note: It is extremely important that all forms be filled out by the deadline dates.
